How to choose ERP software in India: a practical guide for SMEs

ERP (enterprise resource planning) software puts the core of a business — sales, purchases, stock, accounts and people — into one system, so every team works from the same records. For a growing Indian business the question is rarely whether to move beyond spreadsheets and standalone accounting, but which system fits without a long, expensive project.

This guide walks through what an Indian SME should look for: the compliance an ERP has to handle, the modules worth evaluating, how cloud and on-premise compare, what you actually pay for, how a sensible implementation runs, and the questions that separate a good fit from a costly one.

Signs your business has outgrown spreadsheets and standalone accounting

Most small businesses start with accounting software plus Excel for everything else. That works until the same information has to be typed into several places, or until nobody is sure which version is right.

  • Stock figures in the warehouse, the shop and the books rarely agree.
  • Sales quotes, orders and invoices are prepared in different files and re-keyed.
  • Month-end and GST filing depend on one person collecting data from everyone.
  • Owners cannot see receivables, stock and cash without asking for a report.
  • Payroll inputs (attendance, leave, deductions) arrive by WhatsApp and email.
  • A second branch, warehouse or sales team doubled the manual work.

India-specific requirements your ERP must handle

An ERP built for India should make statutory work a by-product of daily transactions, not a separate project at the end of each month. Thresholds and rules change, so confirm the current position with your chartered accountant.

  • GST on every document: GSTIN for you and your customers, HSN/SAC codes, correct CGST/SGST or IGST by place of supply, and tax-inclusive or exclusive pricing.
  • GST returns: data for GSTR-1 (outward supplies) and GSTR-3B (summary return) drawn from the invoices and bills already in the system.
  • E-invoicing: businesses above the notified turnover threshold (₹5 crore aggregate turnover at the time of writing) must report B2B invoices to the Invoice Registration Portal and print the IRN and QR code. Check whether the ERP generates e-invoices itself, through a GST Suvidha Provider, or only records the IRN.
  • E-way bills: generally required for moving goods worth more than ₹50,000 per consignment; the ERP should hold the e-way bill number against the invoice or transfer.
  • Payroll statutory deductions: Provident Fund (generally for establishments with 20 or more employees), ESI (generally 10 or more employees, for employees within the wage ceiling), state professional tax, and TDS on salary.
  • Audit trail: since April 2023, companies using accounting software must keep an edit log (audit trail) of changes to books of account.
  • Indian formats and currency: INR, Indian number formatting (lakh, crore), Indian financial year (April–March) and state-wise address details.

The modules to evaluate

You do not need every module on day one, but you should know the system can grow with you. Look for modules that share the same customers, items and accounts rather than separate apps that sync.

  • Sales and invoicing: quotations, sales orders, GST invoices, receipts, credit notes and receivables ageing.
  • Purchasing and payables: purchase orders, goods receipts, vendor bills, payments and payables ageing.
  • Inventory: multiple warehouses, batches and expiry, reorder levels, transfers and stock valuation.
  • Accounting and GST: double-entry ledgers, bank reconciliation, P&L, balance sheet and GST summaries.
  • CRM: leads, pipelines, follow-ups and quotations linked to the customer record.
  • HRMS and payroll: employee records, attendance and leave, payslips with statutory deductions.
  • Point of sale: fast counter billing that updates the same stock and accounts.
  • Reports and dashboards: sales, stock, receivables, payables and financial statements with export.

Cloud or on-premise ERP?

On-premise software runs on your own computers or server. You control the machine, but you also own backups, upgrades, remote access for branches and the risk when a PC fails.

Cloud ERP runs in the provider's data centre and is used through a browser. Branches, owners and field teams work in the same live system from anywhere, updates arrive without reinstallation, and backups are the provider's responsibility. For most Indian SMEs with more than one location or remote staff, cloud is now the practical default — provided the vendor is clear about where data is stored, how it is backed up and how you can export it.

What ERP really costs

Compare total cost over two or three years, not the headline price. A low licence fee can be outweighed by implementation, customisation and per-module charges.

  • Subscription or licence: per user, per organisation or per module; check what is included in the base plan.
  • Add-ons: extra users, storage, specialised modules (payroll, POS, manufacturing) and integrations.
  • Implementation: configuration, data migration, training and go-live support — in-house time counts too.
  • Customisation: every change to standard behaviour costs money now and complicates upgrades later.
  • Ongoing: annual maintenance or renewals, support plans, and hosting if on-premise.

A realistic implementation plan

For a small business with standard processes, a focused rollout can take a few weeks; multi-branch or manufacturing operations take longer. What keeps it on track is scope, clean data and one accountable owner.

  • Scope: pick the processes that must work on day one — usually billing, purchasing, stock and accounts.
  • Data: clean customers, vendors, items and opening stock in Excel before importing; agree opening balances with your accountant.
  • Configure: GST settings, numbering series, roles and approvals.
  • Test: run real transactions end to end — quote to payment, purchase to payment, month-end.
  • Train and go live at the start of a period; run the old system read-only for reference.
  • Expand: add CRM, HRMS, POS or projects once the core is stable.

Questions to ask every ERP vendor

  • Can we try it on our own data before paying, and is a card required?
  • Which GST documents and returns does it support, and how does it handle e-invoicing and e-way bills?
  • Which payroll deductions are calculated, and for which states is professional tax supported?
  • Are all modules one product with shared records, or separate apps that sync?
  • How do we import our existing data, and how do we export everything if we leave?
  • What does the price include, and what costs extra after year one?
  • Who supports us, in which time zone, and how fast?
  • How are users, roles and approvals controlled, and is there an audit trail?

Frequently asked questions

What is the best ERP software for small businesses in India?

The best fit depends on your processes, but for most Indian SMEs it should handle GST invoicing and returns data, inventory, accounting and payroll deductions in one system, run in the cloud, price in rupees and offer a free trial on your own data. Shortlist two or three systems and test the same transactions in each.

How long does ERP implementation take for an SME?

A focused rollout of billing, purchasing, stock and accounts can take a few weeks for a small business with clean data. Multi-branch, manufacturing or heavily customised projects take longer.

Is cloud ERP safe for Indian businesses?

A well-run cloud ERP is usually safer than a single office PC: data is backed up, access is controlled by roles and sign-in, and nothing is lost if a computer fails. Ask the vendor how data is stored, backed up and exported.

Can I move from Tally to an ERP?

Yes. Export masters and lists to Excel, import items, stock, contacts and employees into the new system, agree opening balances with your accountant and switch over at the start of a period.
